Privacy Policy

ProofPilot (“PP”, “we” or “us”) provides its website(s), online platforms and related services (collectively, the “Site”) to users of the Site (each, a “User” or “you”).  This Privacy Policy explains the types of information PP may collect through the Site, how it uses, discloses and otherwise processes such information and its purposes for doing so. This Policy also describes how PP protects information and your choices relating to your information.  

When you access or use the Site, this Policy applies to you, so please read it carefully. If you do not agree to any term within this Policy, please do not access or use the Site. 

1. Information Collected by PP

We collect Non-Personal Information and Personal Information as set forth below.

“Non-Personal Information” refers to information which does not identify a User or any other natural person. We collect the following types of Non-Personal Information in the manner described below: 

• Site usage data, such as browser type, web pages visited, amount of time spent on particular pages and other information about how you navigate our Site. We collect site usage data automatically as you use the Site.
• Internet Protocol (IP) addresses that do not identify you or your device. We collect IP addresses automatically as you use the Site. 

“Personal Information” refers to information which identifies a User or other natural person, directly or indirectly. We collect the following types of Personal Information:

• Names and email addresses. We collect names and email addresses when a User provides it to us on the Site (e.g., when setting up a profile on the Site or when submitting a question or comment to us).
• Phone numbers.  We may collect phone numbers in connection with providing the Site to Users.
• Addresses.  We may collect addresses in connection with providing the Site to Users.
• Dates of birth.  We may collect dates of birth in connection with providing the Site to Users.
• Ethnicity information.  We may collect ethnicity information in connection with providing the Site to Users.
• Health-related information.  We may collect health-related information in connection with providing the Site to Users.

In the event you provide us with Personal Information about an individual other than yourself, you represent and warrant that you are legally authorized to provide such Personal Information to us and have obtained any legally-required consents or other forms of permission to share such Personal Information with us for our use and disclosure as described in this Privacy Policy.

2. PP’s Uses and Disclosures of Information

Uses of Non-Personal Information

We use Non-Personal Information to support the operation of the Site, including to address technical and security issues relating to the operation of the Site. We also use Non-Personal Information to customize your experience on the Site (e.g., to remember your preferences).

Uses of Personal Information

We use the categories of Personal Information identified in Section 1 as follows:

• To respond to User questions, comments and other communications submitted to us through the Site.
• To provide services that the User has signed up for.
• To comply with a User’s explicit request relating to the User’s Personal Information.
• To communicate with Users who have elected to receive newsletters or updates from us.
• To identify potential or actual violations of our terms of use or this Privacy Policy so that we may respond appropriately and enforce our terms of use and this Privacy Policy.
• To comply with applicable law, regulation, legal process, subpoena or governmental request.

Disclosures of Personal Information

We disclose the categories of Personal Information identified in Section 1 as follows:

• We disclose Personal Information to our service providers that assist us with operating the Site and providing services to Users.
• We disclose Personal Information to our clients that sponsor research studies so that we may perform contracted services for such clients.
• We disclose Personal Information pursuant to a User’s explicit request.
• We disclose Personal Information, as required by applicable law, regulation, legal process, subpoena or governmental request, to third parties such as government agencies and others authorized by law to receive such Personal Information.
• We disclose Personal Information to appropriate third parties (e.g., law enforcement) as needed to investigate and respond to potential or actual violations of our terms of use and this Privacy Policy.

3. Information Security

We use commercially reasonable measures to protect the security and integrity of our Site and information we collect and maintain through the Site.  Such measures are designed to protect against information loss, misuse, and unauthorized access.  Please note however, despite the measures we have put into place, there are inherent risks in transmission of information over the Internet, and we therefore cannot guarantee that unauthorized access or use of information will never occur.

As noted above, we share Personal Information with third-party service providers that assist us with providing our Site and services to Users. Although we work only with third parties that agree to comply with applicable laws and implement information privacy and security measures to protect Personal Information, we do not control third-party service providers.

5. Third-Party Websites

Our Site may include links to third-party websites. These links are provided for convenience only. We do not endorse or recommend any third-party websites or the content on such websites and we are not responsible for the privacy practices of third-party website owners or operators.  When you click on a link to a third party’s website through our Site and are directed to such third party’s website, you are bound by the privacy policies and practices of that third party. We encourage you to read the privacy policies governing your use of any third-party website.

Our Site is not directed to or intended for use by children under the age of 13 and we do not knowingly collect any Personal Information from children under 13. If you discover that we have collected Personal Information from a child under 13, please notify us at privacy@proofpilot.com. We will seek to delete such Personal Information as soon as possible.

7. Requests for Deletion & Modification

You may request deletion or modification of your Personal Information maintained by PP by emailing PP at privacy@proofpilot.com. So that we can efficiently respond to your request, please make sure to specify the particular Personal Information you would like us to delete or modify. We will make reasonable efforts to delete or modify your Personal Information pursuant to your request and as required by applicable laws.

8. International Transfers

In the course of providing and operating our Site, we may transfer Personal Information from the country in which you are located or from which you accessed the Site to other countries around the world, as permitted by applicable laws. We may transfer such Personal Information to another country that does not have the same privacy or data protection laws as the country in which the Personal Information was collected. Therefore, Personal Information may be subject to different protections depending on the laws and regulations of the country to which it is transferred. In any event, PP will apply reasonable safeguards and adhere to the terms of this Privacy Policy in an effort to protect all Personal Information transferred internationally.
